Overview of the Create distributor/BU process

The administration application provides facilities for creating a distributor or a business unit (BU), which is a level 1 account. This link is available only to the helpdesk administrator. For all the distributors or business units that are created, GBC (Global Business Center) which is a level 0 account will be assigned as a parent account.

The create distributor/BU process involves the following five steps:

  1. Create distributor or business unit
  2. Add primary contact for the distributor or business unit
  3. Add secondary contact for the distributor or business unit
  4. Link services or applications to a distributor or business unit
  5. Assign application roles to a distributor or business unit

Only the first two steps are mandatory. After you have carried out the first two steps, you can finish the process and carry out the remaining activities from the Maintain distributor/BU screen.

How do I create a new distributor or business unit?

The Create distributor/BU screen enables you to create a new distributor or business unit. The distributor or business unit name has to be unique in the BT admin application.

Follow the steps detailed below to create a new distributor or business unit.

  1. Log on to the administration application with the helpdesk admin rights.
  2. Click the Create distributor/BU link from the left pane of the home page. The Create distributor/BU screen appears.
  3. Type the name of the distributor or business unit in the Distributor/BU name field. This entry has to be unique, which means you cannot create a distributor or business unit that already exists in the BT admin application. The valid inputs for this field are alphabets, numbers and special characters like .(dot), ,(comma), _(underscore),()(braces), '(apostrophe), -(hyphen). The maximum length of this field is 100 characters.
  4. Type a display name for the distributor or business unit in the Display name field. The valid inputs for this field are alphabets, numbers and special characters like .(dot), ,(comma), _(underscore),()(braces), '(apostrophe), -(hyphen). The maximum length of this field is 100 characters.
  5. Type the date from when the distributor or business unit will be active in the Activation date field. Alternatively, click the calendar icon and select a date. This is required only when the selected status code is pending. The Created date field is a read-only field and you cannot change it. It is pre-populated with the current date.
  6. Select the status of the distributor or business unit from the Status code drop-down list box. Possible status are active, inactive and pending.
  7. Type the first three lines of the address of the distributor or business unit in the Address 1, Address 2 and Address 3 fields. These are optional fields. The valid inputs for these fields are alphabets, numbers and special characters like .(dot), ,(comma), _(underscore),()(braces), '(apostrophe), -(hyphen), #. The maximum length of this field is 100 characters.
  8. Type the name of the city where the distributor or business unit is located.
  9. Select the name of the country where the distributor or business unit is located from the Country drop-down list box.
  10. Select the name of the state where the distributor or business unit is located. This drop-down list box is populated depending on the selected country.
  11. Type the post code or ZIP code of the place where the distributor or business unit is located in the Post code/Zip field.
  12. Type additional notes if any in the Notes field.
  13. Click next to go to the next screen.
  14. Click reset if you want to reset the fields to their actual state. You can re-enter all the information once again.
  15. Click cancel if you want to cancel the create distributor/BU process.

How do I add a primary contact for the distributor or business unit?

The Add primary contact screen is used to add a primary contact to the distributor or business unit. This is a mandatory step in the create distributor/BU process. The administrator can search for an existing user in the system and create a new contact for the distributor or business unit.

Follow the steps detailed below to add a primary contact to the distributor or business unit.

  1. Click the next button on the Create distributor/BU screen after entering details. The Add Primary Contact screen appears.
  2. Type the user name in the User name field. Alternatively, click Go button. The users are searched based on matching first name, last name or login name in that sequence. All the deleted users are filtered from the search results. Select a user from the list of users that are displayed in the Select user drop-down list box. Alternatively, click the Create user link to go to the Create user screen. You can create a new contact user using this screen. After a new user is created the control returns to the Add primary contact screen. The User name and Select user name fields are populated with the newly created user name. The contact type is set to account_level.
  3. Click next to go to the Link services/applications screen.
  4. Click reset if you want to reset the fields to their actual state. You can re-enter all the information once again.
  5. Click add to open the Add secondary contact screen. You can add a secondary contact for the distributor or business unit using this screen.
  6. Click finish to finish the create distributor/but process.

How do I add a secondary contact for a distributor or business unit?

The Add secondary contact screen is used to add a secondary contact to the distributor or business unit. This is an optional step in the create distributor or business unit process. The user can search for a secondary contact by the contact's login name. The administrator can search for an existing user in the system or he can create a new contact for the distributor or business unit.

Follow the steps detailed below to add a secondary contact to the distributor or business unit.

  1. Click add in the Add primary contact screen to navigate to Add secondary contact page .
  2. Type the user name in the Username field. Alternatively, click Go button. The users are searched based on matching first name, last name or login name in that sequence. All the deleted users are filtered from the search results. Select a user from the list of users that are displayed in the Select user drop-down list box. Alternatively, click the Create user link to go to the Create user screen. You can create a new contact user using this screen. After a new user is created the control returns to the Add secondary contact screen. The User name and Select user name fields are populated with the newly created user name.
  3. Select a contact type from the Contact type drop-down list box.
  4. Click add to again open the Add secondary contact screen. You can add another secondary contact for the distributor or business unit using this screen. Follow steps 2 and 3 to add a contact.
  5. Click next to go to the Link services/applications screen.
  6. Click reset if you want to reset the fields to their actual state. You can re-enter all the information once again.
  7. Click finish to finish the create distributor/BU unit process.

How do I link services or application to a distributor or business unit?

The Link services or applications to distributor/Business unit screen is used to link services or applications to a new distributor or business unit. This is an optional step in the create distributor process.

Follow the steps detailed below to link services or applications to a distributor or business unit.

  1. Click next in the Add primary contact or Add secondary contact screens to go to the Link Services/applications screen.
  2. Select a service or application from the Select service/application drop-down list box. The SSO user name and Password fields are displayed, if the selected application is a service and requires account level authentication.
  3. Type a user name in the Service user name field.
  4. Type a password in the Service password field.
  5. Click add to link more services or application to the distributor or business unit.
  6. Click next to go to the Assign Roles to distributor/BU screen.
  7. Click finish to finish the create distributor or business unit process.

How do I assign roles to a distributor or business unit?

The Assign application roles to a distributor/BU screen allows you to associate application roles with the application which belong to a distributor or business unit. All the applications that are assigned to the distributor or business unit in the previous screen are listed here and the administrator can choose the application and assign the roles required.

Follow the steps detailed below to assign roles to a distributor or business unit.

  1. Click next in the Link services/applications screen. The Assign application roles to distributor/BU screen appears.
  2. Select an application from the drop-down list box. All the roles applicable for that application are displayed.
  3. Select the roles check box to assign those roles to the distributor or business unit for the selected application.
  4. Select the check box under Default role to make the corresponding role a default role for the distributor or business unit. These roles will be assigned by default to the companies under this distributor or business unit. You have to assign at least one role to the distributor or business unit.
  5. Click finish to finish the create distributor or business unit process. If the roles are assigned successfully, the Create distributor/BU status screen appears. Click on the Distributor/BU link to continue.
